Billing Operations Manager

Title: Billing Operations Manager
The Billing Operations Manager will be responsible for managing a team that gathers and processes over 20,000+ invoices a month. These invoices vary from telecommunication services to Utilities, such as electric, gas, water and sewerage.  The manager will coach and mentor the team on best practices, train and upskill resources, and provide daily guidance.
Responsibilities:
Invoice Processing: 50%
  • Manage a team of invoice processors that are responsible for gathering and loading invoices into the expense management system
  • Develop and report on KPI metrics in relation to invoice processing, such as time to gather, load and process and invoice.
  • Manage an invoice SWAT team that is responsible to gathering and loading complex invoices
  • Develop invoice processing best practices
  • Train new team members, guide current team members on new process improvements and system enhancements
  • Continually drive process and quality improvement internally with the invoice processing team and with external teams
Collaboration: 30%
  • Collaborate with our Account Engineers and Account Managers
  • Work closely with our AP department to ensure proper allocation of expenses, reconcile payments, and perform research on outstanding balances
  • Resolve invoice issues as they relate to the inventory and audit teams
Product Development and Enhancements: 20%
  • Identify opportunities for system improvements in relation to Invoice Processing  
  • Improve the time it takes to gather and process invoices by leveraging our software and automation
  • Filter enhancement requests from the team and work closely with the development team on improvements
Requirements
  • 7+ years of experience with invoice processing and validation
  • 5+ years in people management
  • Experience with telecommunications and/or Utilities invoices and vendors
  • SaaS and/or Managed services with expense management tools experience
  • High attention to detail and strong communication skills
  • Strong time management skills with the ability to work on more than one project at a time
  • Advanced knowledge of MS Office (Excel, Access, Outlook and Teams)
  • SQL experience a plus
